Fall 2020 Move-Out Process

This communication is intended to provide guidance to the move-out process for students living in ECU residence halls. Please refer to the university communications sent on Aug. 23, 2020 from Chancellor Ron Mitchelson regarding the overall plans for closing the residence halls for the remainder of the fall 2020 semester.

PLEASE READ THIS MESSAGE IN ITS ENTIRETY BEFORE STARTING PLANS TO MOVE OUT OF THE RESIDENCE HALL.

Your patience and cooperation are greatly appreciated as we work through this process over the next week or so.

This communication will provide two options for each student: 1) move out of the residence hall completely between Aug. 23-30; OR 2) apply for an exception to remain living in the residence halls.

Let us explain each option a bit further to help answer some of your possible questions. Regardless of your choice, you MUST complete one of the two online forms below.

OPTIONS

Move out of the residence hall completely between Aug. 23-30, 2020:

    1. Click the link in your student email and select a day/time that you want to move out. Each link is specific to each residence hall and shouldn’t be shared.
    2. It is strongly encouraged that you coordinate with parents/family about the selection before you complete the form. Each student will be able to bring two people with them to assist with the move-out process.
    3. This process will be almost exactly like the Drop-Off process from July. Each student will have a specific time to move-out of their room. A limited number of carts will be available during this time to assist with the process too. Bringing your own carts is an option, too.
    4. You and any persons assisting with the move-out process should not be currently experiencing any fever, cough or shortness of breath symptoms. Also, no person will be allowed on campus if they have recently traveled to CDC Level 3 countries or been in close contact with a confirmed COVID-19 case.
    5. The move-out process is only complete once the student has turned in their key and fob at the Neighborhood Service Office (NSO). This will be a contactless drop-off. NOTE – Room keys must be returned before leaving campus.
    6. During the assigned time all belongings should be removed from the room including any items in the refrigerator.

Apply for an exception to remain living in the residence halls:

    1. Some students have extraordinary circumstances that might require them to remain in the residence halls.
    2. Students who want to stay will need to complete an application for an exception to stay that will be reviewed for approval based on the case-by-case circumstances.
    3. All students that are approved with an exception may be moved out of their existing residence hall space and consolidated into one or two residence halls in one location on campus.
    4. Based on the number of students remaining on campus after Aug. 30, Campus Living will contact each student with additional information and instructions, which would include dining options.
    5. COMPLETE THE RESIDENCE HALL EXCEPTION FORM VIA THE LINK INCLUDED IN YOUR STUDENT EMAIL.

All residence hall students will receive a separate email from Campus Living with a specific link based on your residence hall. This form must be completed no later than Wednesday, Aug. 26, 2020 at 5 p.m.

Please remember that this process is being laid out for the safety of our students, faculty, staff and administration. ECU will continue to provide information to our students and our parents as we want to keep you informed.

Parking

During move-out process, PLEASE do not park in Fire Zones or block roads. We will not be enforcing parking passes, but cars in blocking roads and parking in fire lanes may be ticketed or towed.

Dining

Hours Updates for this week

Key/Fobs

Keys/Fobs should be turned in at the Neighborhood Service Office for your hall. You will mark your name, Hall and Room Number on an envelope for your keys and place in the bin for your hall.  You can pick up any mail or packages during these times as well.

Residents, these are our normal closing requests — please read!

We know in some cases your roommate and suite mates may not be moving out at the same time or they may be staying, so focus on your parts of the room and suite. In these, we know that doing all the check-list items will not be possible. Please dispose of any items left in the refrigerator/freezers that belong to you. Trash in all cases should be taken to the trash room or if possible, the dumpster. Please do not leave mirrors in the trash room, please take those to the dumpster.

Furniture & Furnishings

All furniture, including beds, must be assembled and left in the original check-in condition at check-out. Beds should up with the bed frame and headboards in place. If you have bunk pins that are not being used, they can be dropped by the container located by your hall coordinator’s office.

**If you have a rented loft, you may leave the loft in the room, and your bed lofted. College Products will pick up all lofts after students leave. If you did not pay for disassembly, please take your loft apart. DO NOT move your loft into the hallway or other public area. We are checking with College Products about lofts for students who are staying, and providing lofts for students who return for spring. More information will be forthcoming!

  • Empty and clean all closets and drawers. The University is not responsible for personal belongings left in the room.
  • Place all furniture in original location. Unstack dressers. Beds should be bunked if possible, and be fully assembled.
  • Wipe off desk with wet cloth; use rubbing alcohol to remove ink.

Floors

  • Mop and/or sweep the floor or vacuum carpets, but do not sweep anything into hallways. ALL trash should be removed from the room. Walls
  • Remove all posters, nails, tape, stickers, or other adhesive decorations.
  • Clean marks off the walls.
  • Be careful in removing “3M Command Strips.” They can still damage walls; try heating the strip with a hairdryer before removing it from drywall.

Doors / Windows

  • Remove posters, staples, and tape on the door or the bulletin board outside your room.
  • Close and lock the window(s)
  • Remove any stickers from the windows
  • Open shades or blinds

Hallways and Breezeways

  • No trash, discarded personal belongings, carpet, wood, building materials, or other items are to be left in hallways, suite areas, or breezeways.
  • All trash should be taken down to the dumpster.
  • Building materials should be placed beside the dumpster.
  • Mirrors should be taken to the dumpster to be thrown out.

Suite Bathrooms

  • Remove all personal belongings
  • Cut off all faucets and showers
  • Remove all trash
  • Clean bathroom to move-in condition (Scott Hall, Gateway suite rooms & College Hill Suites Only)

** College Hill Suites, Gateway East and West (suite rooms) and Scott Hall Residents — Suite common areas are the responsibility of the entire suite. All furniture should be placed in the location found at check-in.

In All Halls

**** Turn lights off when checking out from your room & please turn AC units on low fan, and 74 degrees or medium cool. Do not turn the AC unit off completely. ****

Do a final “visual sweep” of the room for items! Check drawers! Please do not leave items behind and DON’T forget to return your keys!
